In the Sokoto region, MSF is dedicated to providing critical medical and humanitarian assistance to communities in need. As part of our commitment to these communities, we are seeking a dedicated and motivated Purchasing Officer to join our team. This role is essential in ensuring the ongoing supply of goods, analyzing market sources, and securing competitive pricing conditions among different suppliers.

The Purchasing Officer will perform day-to-day purchasing activities of the supply office, following MSF's procurement procedures and standards. This includes constantly assessing the local market, seeking products and suppliers that offer the best value for money, and negotiating prices to guarantee the best quality and pricing for MSF goods and commodities. The role also involves regularly updating the supplier-item-price data and informing the Supply (Activity) Supervisor or Logistics Supervisor of any modifications.

At the request of the line manager, the Purchasing Officer will obtain different quotations from suppliers according to the MSF Purchasing policy and place purchase orders to pre-selected suppliers with agreed prices. Ensuring that invoices or receipts are requested without delay, checking their accuracy, and translating information written in the local language before approval are also part of the job.

The Purchasing Officer will manage the administrative and accounting procedures related to purchases, including completing purchase orders, checking delivery notes against orders, and managing advances issued by the Finance Department. Additionally, the role involves assisting in the reception control process with the storekeeper and performing other delegated tasks as specified in the job description.

In the context of MSF's mission, the Purchasing Officer will also support supplementary activities related to the vaccination program and demonstrate flexibility in task development.

Responsibilities

  • Perform day-to-day purchasing activities of the supply office.

  • Regularly update supplier-item-price data on the supply office.
  • Inform the Supply (Activity) Supervisor or Logistics Supervisor of any modifications to the data.
  • Obtain different quotations from suppliers according to MSF Purchasing policy.
  • Place purchase orders to pre-selected suppliers with agreed prices.
  • Request invoices or receipts without delay for all purchases, ensuring accuracy and translation.
  • Manage administrative and accounting procedures related to purchases.
  • Complete purchase orders, check delivery notes against orders, and manage advances issued by the Finance Department.
  • Assist in the reception control process with the storekeeper.
  • Perform delegated tasks according to activity and job description.
  • Support supplementary activities related to MSF vaccination program.
  • Show flexibility in task development.

Job Requirements

Qualifications
