The main objective of the Finance Assistant position is to execute administrative and finance-related tasks and follow up on project accountancy to support the Project Finance Manager. This is done following MSF standards and procedures to ensure legal compliance and strict control over monetary resources to achieve project objectives.

As the Finance Assistant, you will be responsible for implementing cash management procedures, assisting in the provision of monthly treasury and planning, processing payments to suppliers, and maintaining strict control over all documentation involved. You will carry out all accounting tasks, classify, prepare, and file all accounting pieces in the accounting software to ensure strict control of all expenditures and the reliability of statements and documentation.

The Finance Assistant is also responsible for following up on expiring rental contract dates, making administrative information available to the staff, supporting the Project Finance Manager in translating documents, and assisting in meetings upon request. Additionally, you will systematically record all cash movements, ensure the availability of funds for the cash box, monitor operational advances, and establish daily cash balances. You will also ensure that each payment file contains all the required documents and that they comply with MSF standards and local policies.

Responsibilities

  • Implement cash management procedures to ensure the highest control and security.
  • Assist in the provision of monthly treasury and planning to ensure the coverage of daily needs.
  • Process payments to suppliers and maintain strict control over all documentation.
  • Carry out all accounting tasks and activities, classify, prepare, and file all accounting pieces in accounting software.
  • Follow up on expiring rental contract dates and inform the Administration Manager.
  • Make all administrative information available to the staff, support in translating documents, and assist in meetings.
  • Systematically record all cash movements and ensure the availability of funds for the cash box.
  • Monitor operational advances in accordance with current procedures.
  • Establish daily cash balances and draw up a weekly physical inventory of the cash.
  • Ensure that each payment file contains all required documents and complies with MSF standards.
  • Process payments to suppliers and maintain strict control over all required documents.
  • Ensure that each payment has been pre-authorized by the Finance Manager or Project Coordinator.
  • Keep the "Bank Register" up to date according to the order of cheque and transfer numbers.
  • File and prepare all accounting elements required by the Finance Manager.
  • File and store accounting documents for the monthly closing within the allotted deadlines.
  • Request technical support from the Accounting Manager.
