The Executive Assistant to the Vice President Campus Life and Dean of Student Affairs at AUN is a crucial role that provides high-level administrative support. This position requires preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, arranging travel, receiving visitors, arranging conference calls, and scheduling meetings. Additionally, the Executive Assistant coordinates workflow within the various units and departments of the Student Affairs Division in line with established processes and procedures.

The ideal candidate will have a strong background in administrative support, excellent organizational and communication skills, and the ability to work effectively in a dynamic and fast-paced academic environment. Experience in higher education is highly beneficial, as is proficiency in Information and Communications Technology (ICT) tools and e-resources. This role demands a high level of professionalism, confidentiality, and the ability to develop and maintain effective working relationships with faculty, administrators, and other staff members.
As an Executive Assistant at AUN, you will play a key role in ensuring the efficient operation of the Dean of Student Affairs' office. This involves handling a variety of tasks, from arranging essential mail and checking deadlines on incoming requests to preparing agendas for meetings and arranging travel itineraries. Your ability to manage multiple responsibilities, maintain a high level of accuracy, and work collaboratively with diverse individuals will be critical to your success in this role.

Job Detail

Responsibilities

  • Arrange essential mail in an order of priority for the Dean of Student Affairs.
  • Check deadlines on incoming requests and put preliminary work in play.
  • Process replies on own initiative or from the Dean's dictation or notes.
  • Research, draft, or abstract reports.
  • Handle all inquiries professionally and confidentially.
  • Arrange "call-backs" to protect the Dean's time.
  • Provide back-up materials for call-backs.
  • Route calls elsewhere as needed.
  • Conduct phone surveys/inquiries as needed.
  • Maintain the Dean's calendar; ascertain which events require the Dean's attention.
  • Fix commitments to maximize the Dean's time efficiency.
  • Prepare agendas for meetings in advance.
  • Arrange meeting facilities.
  • Act as recording secretary; prepare action minutes.
  • Schedule visits away from the Dean area to protect priority/private tasks.
  • Arrange travel cash in advance.
  • Prepare itineraries, trip files, and supplies.
  • Prepare expense reports for the Dean.
  • Complete expense reports after every official trip.
  • Perform any other duties as assigned or delegated by the supervisor.
