We are seeking a Human Resources Assistant to join our team in Sokoto, Nigeria. The successful candidate will execute administrative, HR, and legal related tasks to support the Project HR Manager following MSF standards and procedures, ensuring legal compliance and realizing the HR capacity required to achieve project objectives.

As a Human Resources Assistant, you will manage personal files to ensure accuracy, compliance, and on-time payments under the supervision of the Project HR Manager. You will update the HR database and personal files to facilitate HR processes management, ensuring social security tax office files meet legal requirements, and preparing employment contracts in conformity with legal requirements.

You will prepare monthly pay slips for all staff, edit and update necessary data to ensure punctuality and accuracy of staff payroll, follow up on all expiring rental contract dates, and inform the Administration Manager to arrange renewals or alternatives. You will also make administrative information available to staff, support the Project HR Manager in translating documents, assist in meetings, and perform additional HR/ Admin tasks as delegated by the Project HR Manager.

Your role includes ensuring the daily worker pool is updated and relevant information is recorded accurately, facilitating work with each department, and ensuring the paperwork for daily worker use is accurate and complete. You will take care of national and international staff flights, accommodation, airport transport, visa, work permit, and medical tests, brief new arrivals, assist in recruitment technicalities, follow up on L&D activities, maintain performance management requirements, and supervise cleaners, cooks, and the cashier.

You will also control the admin office supplies, ensuring sufficient stock, liaise with the supply department, be adaptable to new tasks and ad-hoc requests, and cover for the Finance Assistant if needed. Flexibility in undertaking assigned tasks and working in a dynamic and ever-changing environment is essential.

Responsibilities

  • Assist in recruitment technicalities, share vacancies, arrange test locations, and inform applicants
  • Follow up on L&D activities, book venues, prepare perdiems, and manage travel and visa requirements
  • Maintain performance management requirements, follow up on staff appraisals, and record them in Homere
  • Supervise cleaners, cooks, and the cashier, ensuring their administrative needs are met
  • Control admin office supplies and ensure sufficient stock
  • Be adaptable to new tasks and ad-hoc requests
  • Cover for the Finance Assistant if needed
